Terms of Service — Gateflow

Last updated: «confirm — date you publish» These Terms govern your use of Gateflow, provided by PROCUREFLOW TECHNOLOGIES PRIVATE LIMITED (CIN U62011PN2026PTC256784) (“we”, “us”), Pune, Maharashtra, India. Gateflow is a product of ProcureFlow Technologies. By creating an account or using the Service, you agree to these Terms.

1. The service

Gateflow is a mobile application for creating delivery challans and gate passes — issuing movement documents, capturing dispatch photos, sending challans to recipients you choose, and verifying goods at the gate. A challan is a movement document; it is not a tax invoice and carries no pricing or tax.

2. Accounts & eligibility

You must be at least 18 and able to enter a binding contract, and provide accurate registration details. You are responsible for your workspace, your users (operators and gate staff), keeping credentials secure, and all activity under your account.

3. Plans, free trial & billing

  • Gateflow offers two plans — Starter and Professional — purchasable for a term of 3, 6 or 12 months (minimum 3 months; no monthly plan). Indicative yearly prices: Starter ₹1,499/year (from ₹425 / 3 months; up to 2 users, 1 gate, 200 challans/month) and Professional ₹5,000/year (from ₹1,425 / 3 months; up to 10 users, 1,200 challans/month, plus custom branding, Excel export and maker-checker approval). Prices are exclusive of GST, which is added as applicable; a GST receipt is issued on payment. («confirm» current prices/offer.)
  • A free trial is available (no card required); the trial includes all Professional features.
  • Billing is server-priced from our plan catalogue for the plan and term you choose — a client-supplied amount is never accepted. If you subscribe through the Google Play Store, Google Play’s terms and policies also apply. We never receive your full card details.
  • Renewal & refunds: «confirm — align to the ProcureFlow Technologies family policy (e.g. no auto-renew; subscription fees non-refundable, cancel any time to stop future renewals), and match the Pricing page.»
  • We may change prices with prior notice; changes apply from your next term.

4. Your data and content

  • You own your business data (challans, records, photos, contacts you enter). You grant us the limited licence needed to host, process and display it to provide the Service, including generating and delivering challan PDFs to the recipients you choose.
  • You are responsible for the accuracy and lawful basis of the data you enter — including third-party personal data (customers, drivers, accountants) and photographs (which may show vehicles or number plates).
  • We handle personal data as described in our Privacy Policy.

5. Acceptable use

You will not use the Service unlawfully; to create false or fraudulent movement records; to upload malware; to breach security or another business’s data isolation; or to reverse-engineer or resell the Service. We may suspend accounts that violate these Terms or the law.

6. Availability & support

We aim to keep the Service available and provide support, but do not guarantee uninterrupted or error-free operation. The app is offline-first — challans captured offline sync when connectivity returns; sync timing may vary.

7. Not a compliance substitute

Gateflow helps you record and control goods movement; it is not a substitute for your statutory, tax or transport-documentation obligations. You remain responsible for compliance with applicable law (including any e-way-bill or transport requirements).

8. Intellectual property

We and our licensors own the software, brand and IP. “Gateflow”, its logo, “Create · Check · Move”, and related marks are our property. These Terms grant you a limited, non-exclusive, non-transferable right to use the Service during your subscription.

9. Suspension & termination

You may cancel at any time (through your account, or via Google Play if you subscribed there). We may suspend or terminate for breach, non-payment, or legal reasons. On termination you may request export of your data for «confirm — e.g. 30 days», after which we delete or anonymise it per the Privacy Policy.

10. Warranties & limitation of liability

The Service is provided “as is” to the fullest extent permitted by law. To the maximum extent permitted, our total liability arising out of or relating to the Service is limited to the fees you paid for the Service in the 12 months before the claim, and we are not liable for indirect, incidental or consequential losses.

11. Governing law & jurisdiction

These Terms are governed by the laws of India, and the courts at Pune, Maharashtra have exclusive jurisdiction, subject to applicable law.
